The Position:

Under the direction of the facilities manager, the facilities coordinator is responsible for providing support to all Walbec Group facilities to ensure properties are safe, clean, efficient, and properly maintained.

Roles and responsibilities

  • Assist the Facilities Manager in all aspects of facilities activities throughout the Walbec Group family of companies.
  • Communicate and coordinate with internal and external stakeholders and contractors.
  • Coordinate facilities activities, work direction, and support systems.
  • Assist in creating, maintaining, and updating department administrative policies and procedures.
  • Maintain facilities records.
  • Identify, negotiate, and administrate service, repair, and preventative maintenance contracts with vendors.
  • Prepare and maintain RFP’s, bid information, and other contract documents for assigned projects.
  • Assist in the creation and implementation of a computerized maintenance management system and building inspection software.
  • Complete scheduled site facilities inspections
  • Assist in long- and short-term budget planning.
  • Effectively manage multiple small- and large-scale construction, renovation, and repair projects simultaneously.
  • Ensure compliance with health and safety regulations as well as local, state, and federal codes as they relate to facilities.
  • Complete additional responsibilities as assigned.

The Location:

This position is located primarily in Waukesha, WI but projects will vary by location throughout the Walbec Group family of companies, you can expect to travel up to 75% of the time with occasional overnight stays.

The Candidate:

  • High School Diploma or Equivalent
  • Valid Driver’s License that meets company qualifications
  • Proficiency with Microsoft Suite
  • Verifiable experience with access control, life safety, and computerized maintenance management systems.

Preferred Skills

  • Degree in related field
  • Four (4) to six (6) years experience in a facilities related role within a multi-site environment.
  • Two (2) to four (4) years project management experience in a construction-based environment.
  • Ability to communicate to others to convey information effectively, either by phone, in written form, email, or in person.
  • Ability to manage own time, prioritize responsibilities, and multi-task.
  • Ability to work independently as well as in a team setting.
  • Availability to adjust working hours on an as needed basis including after-hours emergencies.
  • Ability to effectively manage numerous projects simultaneously while prioritizing competing demands across multiple locations in a fast-paced environment.
  • Ability to work under pressure and handle stressful situations.

Additional Notes

  • The use of hands and fingers to handle or touch objects, tools, equipment, or controls
  • Talking and hearing in a standard office environment, heavy repair shops, testing laboratories, material production plants, and mining operations.
  • Specific vision abilities required by this job include close and color vision and the ability to adjust focus.
  • Moderate noise and visual distractions
  • Substantial computer work is performed daily, requiring several hours of screen vision as well as keyboarding and use of mouse. Long periods of time spent sitting.
  • Substantial drive time requiring long periods of time spent sitting.
  • Moderate work performed near moving mechanical parts, heavy equipment, and risk of electrical shock.
