The Position:

We’re looking for an Equipment Maintenance Support Assistant responsible for supporting the day-to-day operations of our Equipment Maintenance team.

Role and Responsibilities:

  • Work Order Management: Assist shop supervisors in generating, opening, and closing work orders accurately and on time.
  • Document Management: Scan and upload documents into the 360 system, ensuring all files are organized and accessible.
  • Collaboration with Parts Team: Work with the Shop Parts Manager to ensure parts availability and proper documentation for maintenance tasks.
  • Preventive Maintenance Setup: Create and set up Preventive Maintenance (PM) schedules, ensuring they align with maintenance needs and available resources.
  • Parts Kits Management: Build PM parts kits, verifying that all required parts are included and properly documented with P&D (part and description) numbers.
  • Invoice Processing: Code invoices to streamline the approval process and ensure accurate accounting for maintenance-related expenses.
  • Reference Parts Tabs: Assist with creating and maintaining reference parts tabs for easy access to essential part information.
  • Meter Updates: Regularly update equipment meters (e.g., hours, mileage) to keep track of equipment usage for maintenance purposes.
  • Equipment Data Entry: Enter and maintain equipment details accurately in the 360 system to ensure complete and up-to-date records.
  • Repair Request Management: Organize and track repair requests, ensuring timely processing and prioritization based on urgency.

The Candidate:

  • Communication Skills: Excellent written and verbal communication skills to collaborate effectively with team members and vendors.
  • Excel Proficiency: Strong knowledge of Microsoft Excel, including formulas, data management, and report generation.
  • Adaptability: Ability to thrive in a demanding environment and handle multiple tasks with shifting priorities.
  • Computer Skills: Elevated level of comfort with computer software and system navigation; experience with HCSS E360 system is a plus.
  • Accuracy: Exceptional attention to detail, especially for data entry and documentation tasks.
  • Work Environment Flexibility: Comfortable working in both office and shop environments as needed.
  • Technical Aptitude: Willingness to become a power user of the E360 system, ensuring a prominent level of proficiency and troubleshooting capability.

Additional Requirements:

  • Valid driver’s license
  • Ability to learn quickly and manage multiple tasks simultaneously.
  • Strong organizational skills and the ability to maintain focus in a dynamic work setting.
